Create a Rule to Automatically Move External Emails into a Special Outlook Folder

So far, all phishing emails have come from outside HM. One way to make sure you don’t accidentally click a potential phishing email is to automatically move all external emails to a special folder as they come in, then you can evaluate them with a critical eye when you’re ready. It’s easy to do, all it takes is to create a rule in Microsoft Outlook. Here’s how:

  1. In Outlook, right-click an existing message and select Rules > Create Rule.
  2. Select a condition and what to do with the message based on the condition. In this case, check the Subject contains checkbox and type EXTERNAL (all caps) in the free-text box.
  3. Check the Move the item to folder: checkbox, then choose Select Folder, create a New folder, name it EXTERNAL and select OK.
  4. When you’re done creating the rule, select OK.

Cybercriminals rely on the element of surprise, hoping you’ll open an email while you’re distracted or stressed. By automatically moving all your external emails to a special folder, you can lower our risk and help protect our patient data and corporate information.
